Mailing Labels

Overview

The mailing label functionality allows for the creating of Avery 5160 mailing labels from case or parcel data. This functionality makes generating mailing lists for project noticing or other needs simple.

This feature can be accessed from multiple locations, and its functionality can change slightly based on where it is being accessed from.

Contacts

The first step to generating the mailing labels, is selecting the types of contacts that the mailing labels should be generated for.

This screen provides a list of all available contact types based on the cases or parcels the mailing labels are being generated from. Additionally, there will always be an additional option of Current Resident.

Also, you have the option of including the Tax ID on the mailing labels by clicking on the checkbox on the lower left.

The label for this checkbox may be different based on the you parcel identifier, E.G Tax ID, PIN, APN, etc.

After selecting the appropriate options, clicking on Generate Mailing Labels, will generate and download a PDF containing the Avery 5160 compatible mailing labels template for printing.

Current Resident

The Current Resident option is a special contact type that allows for the generation of labels for all selected cases or parcels, even when the selected contact type does not exist. In situation where a selected contact type is not available, the mailing label will be generated using the parcel address and the name of CURRENT RESIDENT.

Additionally, when this option is selected, if a contact type does exist, but does not have a name listed for the contact, the mailing label will use CURRENT RESIDENT as the contact's name.

Multiple Contact Types with same information

If multiple contact types are selected, that have the exact same information (Company Name, Name, Address), then only one label will be printed, regardless of how many matching contacts exist on the cases.

Differences

The Mailing Label generation is primarily accessed from the Mapping module or from a Data Grid within a section (Such as Building) in MAGNET.

From the Map

When generating mailing labels from the map, the product will gather all available contacts that are within the selected parcels. So, if a single parcel is selected that contains units for example: the contacts for the main parcel as well as the units within the parcel would be included in the export.

Data Grid

When generating mailing labels from a Data Grid, the contacts will be limited to the specific cases filtered in the Data Grid.
