Feature Overview

The MAGNET Meeting Manager allows tracking of upcoming meetings, whether one time, weekly, monthly, etc. as well as cases assigned to the upcoming meetings.

Meeting Manager makes it easy to see what meetings are upcoming, what cases(if any) are part of the meetings, as well as allowing the generation of Word based meeting agendas that can easily be edited as needed prior to distribution. Additionally any cases added to the agenda can also have notes added for the cases agenda that will be exported on the agenda document.

Managing Meetings

The Meeting Manager Module is accessed from the “MORE” menu in the navigation menu, by selecting the option labeled “MEETINGS”

This feature must be enabled for this option to be available.

From this screen you can view upcoming meetings/hearings as well as delete previously created meetings.

Creating a Meeting

To create a meeting, click on the “Add a Meeting Button on the top right of the screen.

This will display the Meeting Details Dialog

This dialog allows you to set the name of the meeting, the type of meeting, as well as select a location(if configured). Additionally you can set the time that this meeting will occur.

The Recurrence Pattern portion allows the setting up of this meeting as a one time event or if needed, the interval in which this meeting should occur. You are able to configure the meeting to occur at almost any interval, e.g. weekly, monthly(such as the first Monday of each month), etc.

After your meetings have been created, cases can then be linked to the needed meetings to allow for agenda creation.

Attaching Cases to Meetings

Meetings are attached to cases using the “Hearing/Meeting” Process Step, found on the “process Step” tab of the case.

The Hearing/Meetings Process Step allows for attaching the current case to an upcoming meeting or hearing.

Selecting a Hearing/Meeting

To select an upcoming meeting or hearing to attach this case to, click on the blue “Choose Meeting…” button. This will display a list of available upcoming meeting that this case can be attached to.

After selecting the appropriate meeting, click on the “ATTACH” button to link this case to the selected meeting. The Process Step will then update to display the linked meeting or hearing information.

Generating Meeting Agendas

From the Meeting Manager Module, select the meeting that you would like to generate the agenda for.

This will bring up the meeting details dialog an show the details of the meeting as well as any cases that have been related to that meeting

To generate an agenda for this meeting, click on the “Generate Agenda” button
